Platform standards
Account responsibility
Bureau One maintains structured standards governing participation, communication, and interaction across our technology and real estate ecosystem. These standards apply across all Bureau One companies and platforms.
Users are responsible for maintaining the confidentiality of their account credentials, ensuring all information provided is accurate and current, and promptly notifying Bureau One of any unauthorized access or suspicious activity. Where applicable, users must also comply with professional, licensing, and regulatory requirements. Bureau One is not responsible for losses resulting from unauthorized access due to user negligence.
Users may not
- Provide false, misleading, or incomplete information.
- Attempt unauthorized access to systems, accounts, or data.
- Interfere with the security, functionality, or performance of our platforms.
- Engage in fraudulent, deceptive, or harmful conduct.
- Use the platform in violation of real estate, financial, or consumer protection laws.
- Upload or transmit malicious code, viruses, or harmful content.
- Scrape, extract, or misuse platform data or intellectual property.
- Circumvent safeguards, controls, or verification processes.
02Intellectual property & content
All Bureau One trademarks, software, workflows, content, and proprietary materials are protected by intellectual property laws. Users may not copy, distribute, modify, reverse engineer, or misuse any part of the platform or its underlying technology without authorization.
User-submitted content must comply with applicable laws, not infringe on third-party rights, and must not contain harmful, misleading, or deceptive material. By submitting content, users grant Bureau One a limited license to use such content as necessary to provide and improve services.
03Communications & digital interaction
Communications conducted through Bureau One platforms, including email, messaging, and digital collaboration tools, may be recorded or retained to support service quality, security, and compliance. Users are responsible for verifying instructions, confirming identity, and exercising caution when sharing sensitive or financial information. Bureau One does not guarantee the security of communications conducted outside its controlled systems.
04Third-party services & integrations
Bureau One platforms may integrate with trusted third-party providers to support technology, operations, financial services, and service delivery. These providers operate under their own policies and may process information as necessary to perform services. While Bureau One maintains structured oversight and vendor standards, we are not responsible for the independent actions or policies of third parties.
05Platform availability
Bureau One strives to maintain secure and reliable systems; however, access may be interrupted due to maintenance, updates, security monitoring, operational changes, or external infrastructure issues. Platform availability is not guaranteed to be uninterrupted or error-free.
06Technology, automation & innovation
Bureau One continuously evolves its platforms, incorporating automation, artificial intelligence, and advanced tools to improve efficiency, accuracy, and user experience. These technologies are implemented with transparency, responsible governance, human oversight, and ongoing monitoring to support fairness, accuracy, and risk management.
Where a user interacts with an automated or artificial intelligence system rather than a licensed professional, Bureau One discloses that fact at the point of interaction. Automated tools support licensed professionals and do not replace them. Any decision requiring the exercise of professional judgment in a real estate transaction is made by a licensed real estate professional. If an automated process produces a result that affects you, you can ask for a person to review it by contacting your Bureau One professional or privacy@bureau.one. A person decides the outcome.
07Platform integrity & enforcement
We maintain structured monitoring and governance to protect users and maintain system integrity. This may include reviewing usage patterns, investigating suspicious activity, enforcing platform standards, and restricting or suspending access when necessary to protect clients, professionals, and the ecosystem.
08Limitation of liability
To the fullest extent permitted by law, Bureau One and its subsidiaries are not liable for indirect, incidental, or consequential damages, losses related to platform interruptions, unauthorized access caused by user negligence, decisions based on platform tools or information, or actions of third-party providers. Users remain responsible for exercising independent judgment and professional diligence.
09Updates to platform standards
These standards may be updated periodically to reflect evolving technology, regulatory requirements, and industry practices. Updates will be posted with a revised “Last Updated” date.

Notices & procedures
Our published notices
The sections that follow are standalone notices covering email, copyright, payment verification, and identity.
10Communications & email notice
Email is not a secure channel, and criminals exploit that fact in real estate transactions specifically. This notice covers how communications through our systems are handled, what our messages do and do not commit us to, and what you are responsible for verifying.
Bureau One Inc. (referred to as “Bureau One,” “Company,” “we,” “our,” or “us”) maintains structured communication standards designed to support clarity, reduce risk, and protect clients, professionals, and transactions across our platform.

However, no electronic communication method, including email, is completely secure or free from interception, alteration, or unauthorized access.
All communications from Bureau One are intended solely for the named recipient and may contain confidential, proprietary, or privileged information. If you are not the intended recipient, please notify the sender, delete the message, and do not disclose or distribute the contents.
Unless expressly stated in a formal written agreement:
- Communications do not constitute legal, financial, tax, compliance, or real estate advice.
- Communications do not create contractual obligations or professional relationships.
- Information shared through email, messaging, or digital platforms is provided for general informational purposes only.
To reduce the risk of fraud and unauthorized activity, users are responsible for:
- Verifying financial or transaction-related instructions through trusted and confirmed communication channels.
- Confirming identity before transferring funds or sensitive information.
- Exercising caution when responding to unexpected or urgent requests.
- Avoiding reliance on last-minute changes to payment or transaction instructions without independent verification.
- Promptly reporting suspicious or unauthorized communications.
Bureau One does not accept responsibility for losses resulting from fraudulent, intercepted, altered, or unauthorized communications, including impersonation, spoofing, phishing, or other cybercrime.
Recipients should independently verify payment or financial instructions using previously established contact information and confirmed procedures. If you receive suspicious or unexpected instructions, do not act and contact Bureau One immediately.
For additional guidance, please refer to our Fraud Prevention & Alerts and Privacy & Data Governance resources.

12Secure funds & payment verification
Wire instructions that arrive by email are the single most common vector for loss in a real estate transaction. This covers the verification steps expected before funds move, and what Bureau One will and will not ask you to do.
Bureau One Inc. (“Bureau One”) is committed to reducing the risk of financial fraud and protecting clients, professionals, and transactions across our ecosystem.
Because real estate transactions involve sensitive financial activity, all users are expected to follow secure verification procedures when transferring funds or sharing payment instructions.
Users should:
- Verify all wire or payment instructions through previously confirmed and trusted communication channels.
- Confirm the identity of the requesting party before initiating any transfer of funds.
- Be cautious of last-minute changes to payment instructions, especially those communicated by email, text, or other unsecured methods.
- Avoid relying on digital communications alone for financial decisions.
- Immediately report any suspicious or unexpected requests.
Bureau One will never send wire instructions by email, change wire instructions mid-transaction, ask for your online banking password, your full Social Security number by email or text, or a one-time passcode, ask you to send funds to an individual rather than a licensed title or escrow company, pressure you to move money quickly or outside normal business hours, or ask you to buy gift cards, cryptocurrency, or prepaid cards for any part of a real estate transaction. Wiring details are confirmed by phone, using a number you already have. If you receive unexpected or urgent requests related to payments or financial transfers, do not act and contact Bureau One directly using verified contact information.
Bureau One is not responsible for losses resulting from fraudulent, intercepted, altered, or unauthorized payment instructions, including impersonation, phishing, spoofing, or other cybercrime. Users remain responsible for exercising reasonable care and independent judgment when transferring funds.
For additional guidance, please refer to our Fraud Prevention & Alerts and Communications & Email Notice sections.
13Transaction risk & identity verification
Identity checks and activity monitoring are how transactions stay clean. This covers what you may be asked to provide, and what happens if verification cannot be completed.
To promote transparency, compliance, and transaction integrity, Bureau One applies structured identity, security, and verification practices across its platform and affiliated services.
These measures are designed to:
- Reduce fraud and unauthorized activity.
- Support regulatory and consumer protection standards.
- Enhance trust and accountability across all participants.
- Improve accuracy and operational consistency.
Verification procedures may include:
- Identity confirmation and authentication processes.
- Secure document and information handling.
- Monitoring for unusual or suspicious activity.
- Compliance with applicable legal, regulatory, and anti-fraud standards.
Users may be required to provide additional information or documentation to support verification and security requirements. Failure to cooperate with reasonable verification requests may result in delays, restrictions, or termination of access to services.
While Bureau One implements structured safeguards, no system is completely immune from fraud or cybercrime. Users remain responsible for exercising caution, protecting their information, and reporting suspicious behavior.
These practices support the integrity of transactions and help protect buyers, sellers, professionals, and partners across the Bureau One ecosystem.
Regulatory monitoring
Bureau One continuously monitors evolving privacy, cybersecurity, and consumer protection standards to align with emerging regulatory and industry expectations.
